If you would like to register an archive or a collection, fill in the following fields. Each field is provided with the necessary explanations about what information is necessary. Then click on the button ´Send form´. Your data are then sent to Archiefbank Vlaanderen and will be registered in the database.

Title

Give a formal, brief and clear title of the archival unit.
Examples:
- Archive of the Chess Club "De Valse Toren", Gijzegem
- Photo collection of Jan Peeters
- Collection of the Folkloric Circle Belledaal-Affligem
If the archive forms a part of a greater whole, indicate that here.

Contact person

Give all information about the place where the archive in question is being kept. This can be an institution or organisation, or a private individual.

Archive code

If applicable, give the code or the number with which this archival unit is designated within the mentioned repository.

Dating

Indicate the chronological limits of the archival unit.
Examples:
- 1560-1870
- 1930's
- Around 1925-1945
Several dates next to one another are possible.

Size and material form

Indicate the size of the archive and the media of which it is composed, preferably expressed in running meters of shelf space or the number of packaging units.
Examples:
- 0.5 running meter
- 5000 photos and 45 drawings
- 4 videos

Archive creator

Give the name and the dates of the organisation, individual or family who, on the basis of his/her/its activities, received, produced or used the archival documents, in other words "created" the archive or the collection. An archive can have only a single archive creator.

Scope and content

Give a concise description of the content, the chronological and thematic scope and the importance of the archive.

Consultation

Give information on the consultability of the archive.
Examples:
- Consultable after contact with the archivist
- Freely consultable

Accessing

Indicate the existing search tools, e.g. inventory, index, etc.
If the search tool is consultable online, give the relevant URL here.

Related units

If applicable, indicate any related archive files, mentioning their repository.

Additional information and comments

Give any additional information about the archive. For example, concerning:
- (pre)history of the archive, lost parts, transfers, etc.
- possible selection and processings of the archive
- the possible existence of reproductions; repository of originals
- existing literature
